Zona Shop App Privacy Policy
Effective October 9, 2026.
Zona Motorsports, LLC (“Zona”, “we”) is an off-road suspension and fabrication shop in Tucson, Arizona. Zona Shop is our app for iPhone and iPad. It is used only by Zona’s own staff (employees and contractors) to run the shop, and it connects to our back-office system. This policy explains what the app and that system keep about the people who use it, why, and who else handles it. Shopping on zonamotorsports.com is covered by the website’s own policies.
The short version
- We keep what the shop needs to run: who you are, the time you work, and the work you record.
- No ads, no tracking across other apps or websites, no analytics or crash-reporting tools, and we never sell or rent information.
- The app does not use your location, contacts or microphone.
- The camera and your photo library are used only when you scan a code or add a photo.
Information about you as a staff member
Your account and profile
Zona’s owner or a manager creates your profile. It holds your name, work email and/or mobile number, job title, role and permissions, skills, the date you started, a board colour and, if one is added, a profile photo. The owner may also record the hourly rates used for job costing and payroll exports. If you use a shared shop iPad, your PIN is stored only as a one-way scrambled value (a hash), never the PIN itself. We also note when you last used the system and your settings in the app (such as Day or Night theme and saved list views).
Signing in
Sign-in is provided by Clerk, our sign-in service. You sign in with a code texted to your mobile number, your email with a password or an emailed code, Continue with Google, or Sign in with Apple. Clerk keeps your login details (email, phone number, password, and the account identifiers Google or Apple give it) and, to protect accounts, security records of your sign-in sessions such as the IP address, the type of device and an approximate location worked out from the IP address. Zona never sees your password. On your device the app keeps its sign-in token in the iOS Keychain.
Your time
When you clock in and out, start, switch or stop job time, or record shop time, we keep the times, the job or task, any note or photo you add, and whether it came from your phone or a shop iPad. If a manager edits an entry, we keep who changed it and why. Requests to change your time and requests for time off are kept with their dates, notes and the decision. The app does not record where you are when you clock in or out.
Work you record
Jobs, vehicle check-ins and inspections, photos, notes, parts and stock counts, purchase orders and receiving, fab orders, labels, invoices, payments you record, expenses and their receipt photos (and, if you enter it, the last four digits of the company card used) are business records of the shop. They are saved with your name so everyone can see who did what, and changes are kept in an activity log.
Team chat
Messages you send in team chat, your @mentions, any photos you attach, and which messages you have read are kept so your coworkers can follow the work. Chat is visible only to Zona staff who can see that channel or job; it is not public.
Notifications and shop iPads
If you allow notifications, the app registers a notification token for your device with our server so we can tell you about @mentions and messages on your jobs. Notifications are delivered through Expo’s push service and Apple’s push notification service. Signing out removes the token. A shared shop iPad set up as a time clock holds its own device token.
Camera and photos
The app asks for the camera to scan VINs and part barcodes and to photograph vehicles, jobs and receipts, and for your photo library only to attach photos you choose. If you choose “Save Image” when sharing a label, iOS asks before the app adds it to your Photos. Photos are resized and re-saved on your device before they are uploaded, which removes hidden details stored in the photo file, such as the GPS location where it was taken. You can turn camera, photo and notification access off at any time in the iOS Settings app.
What we do not collect
The app does not collect your location, contacts, microphone or voice recordings, health data, browsing history or advertising identifier, and it contains no advertising, analytics or crash-reporting software.
How we use it
- To run the shop: scheduling, assigning work, job costing, timesheets and payroll, purchasing, invoicing and the company’s books.
- To sign you in, keep accounts secure and show you only what your role allows.
- To send you notifications you asked for.
- To help you when something goes wrong, and to meet our legal duties as an employer and a business.
We do not use it for advertising or marketing, we do not build profiles of you for anyone else, and we do not sell or share it for others’ marketing.
Who can see it
Inside Zona, people see what their role allows: coworkers see your name on jobs, the board, schedules and chat; the owner, managers and the office see timesheets, payroll and the books. Outside Zona, information is handled only by companies that run parts of the system for us, under their own security and privacy commitments:
- Clerk, for sign-in;
- our hosting providers, for the servers, database and file storage the system runs on;
- Expo and Apple, for app updates and notifications;
- our email and text-message delivery providers, for messages the system sends;
- Stripe, which processes card payments from Zona’s customers; and
- our accounting software, when the office exports payroll or the books.
We may also disclose information when the law requires it, or to protect our staff, customers or business.
Where it is kept and how it is protected
Information is stored with our hosting providers, which are based in the United States. Everything sent between the app and our system is encrypted (HTTPS), and access is limited by role. On your device the app keeps copies of recently viewed screens, unsent clock presses and check-in drafts so it works when the shop Wi-Fi drops; these stay in the app’s private storage and are deleted when you sign out.
How long we keep it
- Your profile and sign-in account: while you work for Zona. When you leave, your access is turned off and your sign-in account can be deleted.
- Time, payroll, expense and other financial records: as long as employment, payroll and tax record-keeping rules require.
- Jobs, photos, chat and the activity log: as long as the job or record they belong to is kept as part of the shop’s history.
- Notification tokens: until you sign out or Apple reports the device is no longer registered.
Your choices
You can see your own time in the app and ask for a correction with a time-change request. To ask for a copy of the information we keep about you, a correction, or deletion of your account and personal information, email bobby@zonamotorsports.com or call or text 520-405-0117. We will delete what we are not required to keep; records the law requires us to keep (such as payroll records) are kept for the required time.
Zona’s customers’ information
Staff use the app to serve Zona’s customers, so it also shows and stores customer information on Zona’s behalf: names, phone numbers, emails and addresses, vehicles (such as VIN, plate and mileage), vehicle photos, check-in signatures, estimates, invoices, payments and messages about their jobs. Zona uses this information only to do the work, bill for it and keep the shop’s records. Card numbers are entered on Stripe’s secure pages and are never typed into or stored by the app. Customers with a question about their information can email bobby@zonamotorsports.com or call or text 520-405-0117.
Children
Zona Shop is a work app for Zona’s staff and is not meant for children.
Changes to this policy
If what the app collects changes, we will update this page and the date at the top, and tell staff in the app or in person before the change takes effect.
